Fractional NetSuite Administration

Your NetSuite administrator — without the full-time hire.

One senior person owns your account on a fixed monthly retainer: users and access, saved searches and dashboards, month-end close, release testing, and whatever broke this week — plus SuiteScript, automation, and architecture advice on the tiers that carry them. Administrator, developer, and consultant in one engagement.

Published hours, published response times, and one person who knows your account.

Is this you?

  • Your NetSuite admin just left
  • Your implementation partner has moved on
  • Requests are piling up and nobody owns them
  • You have 20–150 users and NetSuite is drifting

A full-time NetSuite administrator is a six-figure commitment before benefits and overhead. Most companies in that position do not need one full-time — they need a senior one reliably, a few days a month, with someone accountable for the account between the emergencies.

How the month runs

An administrator is a rhythm, not a ticket queue. This is what the rhythm looks like once onboarding is done.

  1. 01

    Onboard

Two weeks of access, documentation, and a written picture of the account: configuration, integrations, customizations, and what is already broken.

  2. 02

    Steady cadence

A predictable weekly rhythm for planned work — searches, workflows, reporting, release testing — so improvements happen instead of only firefighting.

  3. 03

    Incidents first

Anything that blocks the business jumps the queue at the response time your tier carries.

  4. 04

    Review quarterly

A system health review and a look at whether your tier still matches what the account actually needs. Tiers move both directions.

Which level of cover fits

Three tiers, separated by how much of the account changes month to month. Size the commitment first — the figures are further down.

  • Essential

    Roughly a day a month

A stable account that still needs an owner: users, access, searches, and the close.

    • Users, roles, and access requests
    • Saved searches and dashboards kept working
    • Month-end close support

    Response commitmentP3 / P4

  • Managed

    Recommended

Two to three days a month

An account that is still moving: workflows, reporting, and integrations that need watching.

    • Everything in Essential
    • Workflows, custom fields, and reporting built as you need them
    • Integrations monitored, not just fixed after they fail

  • Embedded

    About a day a week

NetSuite runs the business and the account changes every month.

What it costs

All prices in USD, invoiced monthly in advance. Reserved time costs less per hour than ad-hoc time, so the effective rate falls as the block gets larger.

Discuss Embedded

Each comparison is the published hourly rate of $165 multiplied by that tier's included hours. The difference is arithmetic, not a promotion — the rate falls because reserved time is easier to plan than ad-hoc time.

A smaller first step

NetSuite Health Assessment

If you are not sure which tier fits — or what shape your account is actually in — start with a fixed-scope assessment. You get a written findings report with every issue prioritized and estimated. Credited in full against your first two months if you start a retainer within 30 days.

  • Security and permission risk
  • Broken or orphaned workflows
  • Script errors and governance issues
  • Integration failures
  • Saved-search and reporting integrity
  • Performance bottlenecks
  • Release-upgrade exposure

About the assessment

Response commitments

A retainer is mostly a promise about response time, so here is the promise in writing. Higher tiers carry tighter commitments as well as more hours.

  • P11–4 hours

System down, financials affected, business blocked

    Available on: Embedded

  • P24–8 business hours

    Key process broken, workaround exists

    Available on: Managed, Embedded

  • P31–2 business days

Affects some users, workaround in place

    Available on: All tiers

  • P43–5 business days

    Minor issue, enhancement, training question

    Available on: All tiers

What is not included

These are real projects with their own risk and their own timeline. They are quoted as fixed-scope work rather than absorbed into a retainer, which is what keeps the retainer predictable for both of us.

  • New module implementations
  • Data migrations
  • Full integration builds
  • Any single piece of work running beyond roughly two consecutive days

Terms

Initial term
Three months, then month-to-month with 30 days' written notice.
Hours
Included hours expire at month end. Unused time does not accumulate into a balance neither of us can plan around.
Overage
Billed hourly at the standard advisory rate, agreed in advance above an authorization threshold you set.
Reporting
A monthly utilization report: hours used, work delivered, and what is queued for next month.
Access
You provision access on your own NetSuite licence. Sandbox access is required for anything beyond trivial configuration.
Invoicing
Monthly in advance, in USD.

Working with one person instead of a firm

It is a fair question and you should ask it before signing anything. Here are the four things that usually sit behind it.

Continuity

Every account is documented from onboarding — configuration, integrations, customizations, and known issues. That documentation is a deliverable you own, not a favour, and it stays with you.

Coverage

You are hiring one person and I will not pretend otherwise: there is no second consultant on standby. Planned absence is scheduled around your close and flagged well in advance. What protects you is not a second name on a contract — it is that your account is documented from week one, so any competent NetSuite administrator can pick it up without me in the room.

No lock-in

Three-month initial term, then month-to-month on 30 days' notice. If it stops being worth it, you leave.

Clean exit

A documented handover to whoever comes next is included. Nobody is held hostage by the person who built it.

A firm gives you continuity and a bench. I give you one senior administrator who knows your account and answers the phone. If you need round-the-clock coverage across time zones, or several people working your account at once, a firm is the right call — and I will say so on the first call rather than after you have signed.

Next step

Tell me what your account looks like

A 30-minute call: how many users, what broke recently, and who owns NetSuite today. You will get a straight answer on which of the 3 tiers fits, or whether you need one at all.
